Kairos AI ("we", "us") operates digital communications and marketing automation on behalf of our clients, including WhatsApp Business messaging, social media operations, and related services under our verified Meta Business Portfolio. This policy explains what data we collect, why, and how it's handled.

Η Kairos AI ("εμείς") λειτουργεί ψηφιακές επικοινωνίες και marketing automation εκ μέρους των πελατών μας, συμπεριλαμβανομένων WhatsApp Business messaging, social media και συναφών υπηρεσιών στο πλαίσιο του πιστοποιημένου Meta Business Portfolio μας. Contact information — name, email, phone number, and WhatsApp identifier when you contact us or one of our clients through a channel we operate on their behalf.

Message content — the content of WhatsApp, Instagram, Facebook Messenger, and email conversations initiated by you with a Kairos AI client, processed for the purpose of responding to your inquiry.

Technical data — IP address, device type, browser, and referring page, collected via standard web analytics when you visit kairosai.gr or a client site we host.

Business data — for our client relationships, we hold contract details, billing information, and engagement metadata.

Why we collect itΓιατί τα συλλέγουμε

We collect the data above to: operate WhatsApp Business conversations and related messaging on behalf of our clients; respond to inquiries and fulfill service requests; deliver the marketing and communications services our clients have engaged us for; comply with legal and regulatory obligations (including Meta Platform policies); and improve the quality and safety of our services.

How we store itΠώς τα αποθηκεύουμε

Data is stored on servers within the EU/EEA and on platforms operated by Meta Platforms Ireland Ltd. (for Meta-hosted messaging) and Google LLC (for email and analytics). Messaging data is retained only as long as operationally necessary and in line with the policies of the underlying platform. Contract and billing data is retained as required by Greek tax law (currently 10 years).

Τα δεδομένα αποθηκεύονται σε servers εντός ΕΕ/ΕΟΧ και σε πλατφόρμες της Meta Platforms Ireland Ltd. (για Meta messaging) και Google LLC (email, analytics). Δεδομένα μηνυμάτων διατηρούνται μόνο για όσο είναι λειτουργικά αναγκαίο. Δεδομένα συμβάσεων και τιμολόγησης διατηρούνται όπως απαιτεί η ελληνική φορολογική νομοθεσία (10 χρόνια).

We apply industry-standard security: encryption in transit (TLS), access controls limiting data access to authorized personnel, and review of third-party processors.

Εφαρμόζουμε security βιομηχανικού επιπέδου: κρυπτογράφηση εν κινήσει (TLS), έλεγχοι πρόσβασης μόνο για εξουσιοδοτημένο προσωπικό, και έλεγχο τρίτων processors.

If you are in the EU/EEA, the GDPR gives you the right to access the personal data we hold about you, correct inaccuracies, request deletion, restrict or object to processing, and receive a copy of your data in a portable format. You can exercise any of these rights by emailing [email protected].

We share data with sub-processors only where necessary to deliver our services: Meta Platforms Ireland (WhatsApp, Instagram, Facebook), Google LLC (email, analytics), Cloudflare Inc. (hosting, CDN), Buffer Inc. (social scheduling), and our client organizations in the case of messages addressed to them.

Μοιραζόμαστε δεδομένα με sub-processors μόνο όπου χρειάζεται: Meta Platforms Ireland (WhatsApp, Instagram, Facebook), Google LLC (email, analytics), Cloudflare Inc. (hosting, CDN), Buffer Inc. (social scheduling), και πελατειακούς οργανισμούς όταν τα μηνύματα απευθύνονται σε αυτούς.
